Rental rates and price levels

Price Levels

The rental rate that is charged to the customer is selected at the time of the postflight dispatch.  The system will select the rate whose effective date precedes the schedule date for the price level of the scheduled user.  If you are using owner statements, the owner income amount is also determined at the time of the postflight (although it is not added to the owner statement until a later step when the rental transactions are selected into a batch for the owner statement).

If you have more than one rental rate for your aircraft (or boat or other primary resource) based on the user type (e.g. member vs nonmember), you can set up multiple price levels.  Contact Time Sync to add price levels or to change the name of existing price levels.  Your rental rates should then be entered in the Resource Rates screen by resource, price level, and effective date. The rate screen is found in the menu at Resource Info >> Rates.

When the rates change, old rates should not be deleted.  They will be superseded based on the effective date of the new rate row.  Only invalid (not old) rates should be deleted.

Special Rates
Owner Rates: You can also define a special rate for owners.  To set up an owner rate, you must...

•  add the owners in the resource edit screen
• contact Time Sync to add the owner price level for your organization
• enter the owner rates in the resource rate screen for each aircraft

Maintenance Flights:  Maintenance flights, which are identified by checking the Maintenance Flight checkbox in the postflight page, are billed at $0/hr.

Lost Hobbs:  There is an additional option for 'Lost Hobbs', which is found on the Flight Resolution screen. This will bill the flight to the Lost Hobbs user typically at a rate of $0/hr.  However, the rate can be defined in the rate screen.

Rate History

As mentioned above, the rate used depends upon the schedule date, the effective date of the rate, and the customer price level.   To see all rates for a resource, select the resource and price level.  If any invalid rates are entered, they should be deleted.  For example, if you entered a customer rate but forgot to enter the corresponding owner income (for those using owner statements), the rate should be deleted and re-entered.  Otherwise, even though the rate may be superseded and disappear from the list that shows all effective rates, any schedules falling within the effective date period could use the invalid rate.  See image below for example rate history of 204HH for standard price level.

Rate Change Notice

As of 5/27/26 we have an option to turn on a rate change notification so that any users affected by a change in rental rates (i.e. their future schedule has a new rental rate) will be emailed with a notice of the new rate. Let us know if you would like this feature turned on.
