I was asked the question above by one of our users. Using Schedule Master for their tool calibration reminder not only was a method for the reminder, but it also set up visual evidence that this crucial task had a system for being handled.
Our Scheduled Maintenance notifications require an associated resource. Here is how you could set this up.
- Add a new tool resource by going to Resource Info >> Other Resources and enter TOOLS as the ID into the textbox and click Add. Then click on the ID TOOLS to edit the fields.
Check 'Suspend' and 'Hide from schedule views' if you do not want this resource on the schedule. You can add a comment about using this only for calibration notifications. Then hit Save to save the updates.
2. Next add a new Scheduled Maintenance item by going to Admin >> System Admin >> Maint Items and clicking the 'Add Item' link just under the title. The image below shows some recommended values for the fields. In this example, the maintenance is related to the new Tools resource, is called Test calibration, will be due every 24 months, and send out the maintenance due notification 60 days prior to being due. If there is a website link that would be helpful, you can enter that into the URL field.
3. Add the first Scheduled Maintenance due date by going to Resource >> Maintenance >> Scheduled Maintenance and adding it to the footer row of the Future Maintenance items as seen in the image below. You may need to scroll down to find the bottom of the grid. Be sure to hit the 'Add' link after filling out the fields. You will enter the first due date, the next one will be entered when completing the first task. There will be an option to auto-populate the next task.
4. Add the maintenance notification by going to Resource >> Maintenance >> Maintenance Notifications. Click the 'Add' link to add a new notification.
Then Select the new Tools resource, the Maint Due event and your preferred method of notification. Be sure to hit 'Submit' to add the notification. In this example, the system will email you 60 days prior to the 3/31/26 due date to let you know maintenance will be due on the tools.
